Account Coordinator
We are looking for an Account Coordinator within the Accounts Management team. The Account Coordinator will assist and collaborate with the Account Managers to guide clients from inquiry through execution, ensuring high quality event production and exceptional service. The Accounts Management team is primarily focused on events that heavily utilize AV production elements, ensuring that events are well-planned, technically sound, and exceed client expectations. This position is a full time, non-exempt role beginning at $20 per hour (adjusted commensurate with experience) and is eligible for benefits including healthcare on your first day, 401(K) with company match, generous PTO, and more. This role will required in-office attendance at our Northside headquarters and will report to the Account Manager.
Essential Duties and Responsibilities:
- Assist Account Managers with coordinating and managing assigned projects to ensure the schedule, budget, and details are well organized, clearly communicated, and tracked carefully.
- Assist in the creation of project documents and regularly communicate with partners, clients, peers, artists, venues, vendors, and other stakeholders on a project to ensure that all parties, crews, and necessary departments have complete, up-to-date, and approved information, budgets, and schedules.
- Ensure that the finance department has accurate and timely budgets, then follow company protocols for finance operations such as billing and payment.
- Coordinate necessary resources needed for a project including equipment, supplies, inventory, and sub-vendors through online equipment and labor tracking database (currently Flex Rental Solutions).
- Coordinate necessary staffing schedules and knowledge transfers for a project including crew, other departmental support, or contractors.
- Provide timely reports during and after a project and maintain proper project paperwork and files for ongoing work and archives.
- Occasionally provide on-site oversight and management to ensure that a project is properly executed and direct the project as necessary.

- Willing to work a flexible schedule that may include long hours and irregular times, including weekends, nights, and some holidays. Education, Certification(s), and/or License(s) Required:
- Bachelor’s degree business administration, project management, or related field preferred.
- Valid driver’s license is preferred, but not required.
- A DOT medical certification is not required; however, you will not be able to operate certain company vehicles without one.
- In accordance with certain event requirements, Child Protection Clearances may be required.
- Minimum of one year of experience in a project management role, preferably in the live event/entertainment, or related industry.
- Knowledge of industry best practices and trends.
